Online Reservation Terms and Conditions

I. General provisions

1. These Online Reservation Terms and Conditions (hereinafter referred to as the "Online reservation T&C") define the detailed conditions and terms of using the website www.interfleet.pl (hereinafter referred to as the "Service"), including the technical means, which enable making a vehicle reservation electronically (hereinafter referred to as the "Reservation"). The entity responsible for the Service is Inter Fleet Sp. z o.o. with its registered office in Warsaw (hereinafter referred to as "Inter Fleet"), at 479 Puławska Street, entered into the Register of Entrepreneurs of the National Court Register kept by the District Court for the Capital City of Warsaw in Warsaw, 13th Economic Division of the National Court Register under the KRS number 0000572985, NIP 113 289 43 83. These "Online Reservation T&C" supplement the General Car Rent Terms and Conditions Inter Fleet Sp. z o.o. (hereinafter referred to as "GTC"), available on the interfleet.pl website at https://interfleet.pl//storage/files/TCs_Inter_Fleet_20230924.pdf.

2. All terms used in these Online Reservation Terms are identical to the terms and definitions contained in the GTC..

3. These Online Reservations Terms and Conditions apply to all vehicle reservations made through the Service.

II. Vehicle reservation via the Service 

1. Reservation of a vehicle online is one of the ways to reserve a vehicle and requires the use of the Service. The reservation process makes it possible to reserve a vehicle and additional options for pick-up on a specified date, at a specified time, in an agreed location and for a specified rental period, as well as to pay for this rental using the so-called online payment gateway.

2. The online reservation service, which makes possible vehicle reservations online on www.interfleet.pl, is free of charge. The use of the online service begins at the moment of starting the process of filling in the interactive form on www.interfleet.pl. 

3. Technical requirements necessary to use the interactive reservation form: 

4. The vehicle and additional options reservation process using the Service consists of the following steps:

  1. entering the data necessary to search for an offer, i.e. the place of pick-up and drop-off of the vehicle (from among the available branches), the date and time of pick-up and drop-off of the vehicle, selecting or entering the age of the User (driver); 
  2. selection of the vehicle segment and acceptance of the rental price;
  3. selection of paid additional options, including a package defining the scope of responsibility for the use of the car and additional equipment; 
  4. providing the data necessary to make a Reservation:
    1. individual: driver's name, email address, contact telephone, date of birth, driving licence number, home address;
    2. company: the same details as an individual, plus the company's VAT number and country of registration, name, email address and registered address;
  5. approving the required and optional declarations of will and knowledge by ticking a checkbox;
  6. clicking on the "Book and pay" button on the summary screen (this is the moment of vehicle reservation);
  7. payment;
  8. Vehicle Reservation confirmation screen.

5. Online payment is made via the online payment service called "Tpay", operated by Krajowy Integrator Płatności spółka akcyjna with its registered office in Poznań, Św. Marcin 73/6, 61-808 Poznań, entered in the Register of Entrepreneurs of the National Court Register held by the District Court Poznań-Nowe Miasto and Wilda in Poznań, 8th Division of the National Court Register under KRS number 0000412357, NIP 7773061579, REGON 300878437, share capital PLN 5,494,980.00 paid in full. In order to make a payment, the User is directed to the aforementioned payment system after clicking on the appropriate link. For more information on the terms and conditions of Tpay:

The User will receive a confirmation of Vehicle Reservation in the form of an email sent to the address provided during the booking process; the confirmation includes the specification of the rented car (its category) as well as the total amount to be paid (rent and other costs agreed during the booking) together with the GTC and the GDPR clause. 

7. Failure to make payment within 48 hours of making a Reservation may lead to cancellation of the order.

8. During the online reservation process, reservation details are established and payment is made, and during the vehicle pick-up, these details are verified against a valid driving licence and valid identity document. The vehicle rental contract and the vehicle pick-up report are completed, submitted for signature and made available to the User.

III. Changes to or cancellation of a Reservation

1. For reservations made via the Service, a change or cancellation of the booking without incurring any cost to Inter Fleet is possible up to 48 hours before the vehicle is due to be collected. 

2. To cancel a reservation made via the Service, the User should use the cancellation link provided in the booking confirmation email.

3. To amend a reservation made via the Service, the User needs to contact Inter Fleet at rent@interfleet.pl and then follow the instructions provided.

IV. Extension of the rental period

1. In case the User wishes to extend the rental period, the provisions of GTC §3 point 2 apply.

V. Complaints regarding the interactive reservation form

1. Complaints related to the operation of the interactive reservation form on www.interfleet.pl can be submitted: 

2. Complaints concerning the use of the car or any other contractual elements are regulated in the GTC.

3. It is recommended to specify in the description of the complaint:

The requirements stated above are in the form of a recommendation and do not affect the effectiveness of complaints submitted without the recommended method of complaint. 

Inter Fleet shall respond to the complaint without delay, no later than within 14 days when the User is a consumer or the regulations on a complaint filed by a consumer apply to him/her, and otherwise within 30 calendar days from the day of its filing. Inter Fleet shall provide a response to the complaint in the form of a paper document or other durable medium.

VI. Personal data processing

1. Inter Fleet may transfer personal data for the purposes indicated herein to the following third parties:

2. Inter Fleet, as a Personal Data Administrator, undertakes to use appropriate security measures, both technical and organisational, to protect the personal data being processed. Personal data shall be retained by Inter Fleet or by data processors only for the time necessary to achieve the purposes for which the data are collected, i.e. for the entire duration of the consent and for the period required by law (in particular tax law and the period of limitation of claims) after the consent is withdrawn.
